Position description

PATHWAYS INTERNATIONAL

Senior Policy Officer

About us – what do we do?

At a time of unprecedented forced displacement and system disruption, we are reforming the global system of safe and legal routes to protection. Our world-class team works closely with leaders and innovators from across sectors in over 20 countries. Together we design, launch, and expand safe and legal routes for displaced people. Together we pilot bold new ideas aimed at making the entire global system of safe and legal routes stronger and more sustainable.

How we do it

  • We build and lead powerful partnerships and networks.
  • We provide trusted advice.
  • We accelerate operational delivery.
  • We generate and share insights.
  • We inspire change.

About the role – what will you do?

We are seeking a Senior Policy Officer to join the powerful global team at Pathways International (PI).

This is an exciting opportunity to contribute to PI’s global strategy on pathways to protection and community sponsorship by working closely with the Chief Executive Officer (CEO) and the Executive Chair (EC) as part of the executive office.

The role will include supporting the CEO and the EC in their daily work, which includes high-profile public and private engagements across a wide range of stakeholders, including those at a high political level and within the private sector. We are looking for a strategic thought partner who can proactively project manage multiple high-level strategic mandates in the executive office consistently and on schedule, while supporting the CEO and EC’s time management and achievement of deliverables.

The role will also entail supporting the CEO and the EC in preparing, executing, and following up on key meetings of the organization’s senior executives and the Board.

Responsibilities

  • Coordination of strategic initiatives: Oversee end-to-end coordination of strategic projects, acting as a central point of contact for the CEO and EC to manage and track high-priority
timelines, dependencies, and deliverables across the executive office to ensure strategic goals and organizational objectives are met on schedule.
  • Stakeholder management, development and communication support: Support and coordinate the CEO’s and the EC’s engagements with key PI partners, including with government, the private sector, and other NGOs, in particular to further the organization’s fundraising and development strategy. The candidate must be able to manage high-level stakeholders in a highly professional manner while exercising discretion and good judgment. This role will also entail coordinating PI’s communication on social media channels.
  • Writing and analysis: Prepare policy and other briefing documents to support the CEO and the EC. Offer executive-level communication support, including drafting and editing of confidential background documents, correspondence and emails.
  • Meeting and event organization: Collaborate with colleagues to prepare meeting strategy.  Prepare agendas; schedule and organize meetings with senior stakeholders, and record and distribute minutes. Communicate with meeting and event participants in a professional and timely manner.
  • Organizational development: Support the CEO in fostering the organizational development of Pathways International, in particular by integrating Artificial Intelligence (AI) into PI’s work, with a strong comfort level using AI tools to draft high-quality correspondence and streamline project management processes.

About you – who are we looking for?

We are looking for a restless, nimble, and confident team member who can tactfully, strategically and effectively project manage work within the executive office, while contributing to policy analysis and writing at a senior level within a dynamic and fast-paced environment.

  • You have a bachelor’s degree (or equivalent) in a relevant field—such as public policy, public affairs, political science, or international development.
or equivalent professional experience in diplomatic, private sector, political or chief of staff roles.
  • You have a proven understanding of one or more relevant fields which may include: forced displacement, refugee protection, global migration, geopolitics and diplomacy.
  • You have at least eight years of relevant work experience in a fast-paced work environment, with a preference for direct work with executive offices or similar functions.
  • You have strong organizational skills and thrive on project managing executive office projects, meetings and event deliverables and deadlines to enable leadership success critical to the organization.
  • You demonstrate strong policy capability, able to research, analyze and draft high-quality briefings and materials for senior stakeholders with keen attention to detail.
  • You have excellent written and verbal communication skills in English. Proficiency in other languages, in particular Spanish and Italian, is an asset. Editorial or copyediting experience is also an asset.
  • You have excellent interpersonal skills and experience collaborating with people from different backgrounds, countries, cultures and languages.
  • You are able to work on a varied and constantly evolving portfolio, while consistently displaying professionalism, discretion, tact and responsibility. You have a strong understanding of confidentiality and need-to-know principles, ideally having directly handled similar sensitive functions.
  • You have a strong comfort level using AI tools to draft high-quality correspondence and to inform and strengthen project management processes.
  • You are comfortable preparing well-presented PowerPoint and Word documents and using Excel, Zoom, MS Teams and SharePoint.

We encourage applications from qualified candidates with lived experience of forced displacement, migration, or with close personal and cultural connections to refugee communities.

Location

This is a full-time remote position within the range of Eastern Time (ET) to Central European Time (CET). The candidate must be available for flexible working hours, including meetings in CET and ET.

Applicants contacted for evaluation will be asked to provide proof that they have the legal right to work in their country of residence. Maintaining such legal right to work in their country of residence is a condition of employment.

Salary
