We are proud to be managing this search on behalf of the Global Alliance for the Future of Food and look forward to engaging with you throughout the process.

Organization: Global Alliance for the Future of Food

Fiscal sponsor: Panorama Global

Location: Pacific Time (GMT -7:00) Zone working hours required.

Contract position: Operations Associate

Compensation for this contract opportunity will be equivalent to $300 USD per day, at approximately 192 days per year.

About Us

The Global Alliance for the Future of Food is a strategic alliance of philanthropic foundations working together and with others to transform global food systems now and for future generations. We believe our unique contribution is threefold:

  1. Forge new insights and strengthen evidence for global systems change
  2. Convene key food-systems actors, facilitate meaningful dialogue, and strengthen interconnections
  3. Stimulate local and global action and interaction for transformational change in collaboration with other committed stakeholders

The Global Alliance is a project of Panorama Global, our fiscal sponsor. Our work is guided by a set of seven shared principles: renewability, resilience, equity, diversity, healthfulness, inclusion, and interconnectedness. These principles shape our vision of the future of food, express our values, and encompass the change we want to make.

Your Impact

Founded in 2012, the Global Alliance is a compact, agile team of 14 located around the world. This multifaceted role will offer you the opportunity to wear two hats — one offering high-level Executive Support to our Executive Director, and one as a core member of our operations team, working to identify and implement operational efficiencies and solutions, ultimately ensuring smooth operations across the organization.

The ideal candidate will be highly organized, detail oriented, and a strong communicator, and will thrive in a culture of collaboration and innovation. You will report to our Operations Lead and work closely with our Operations Director and Executive Director. Compensation for this contract opportunity will be equivalent to $300 USD per day, at approximately 192 days per year.

Your Responsibilities:

Support Executive Director (25%)

  • Provide general administrative support to the Executive Director (inbox and calendar management, scheduling, information management and document support, meeting follow ups, expense reports)
  • Support the Executive Director in coordination of in-person speaking events, meetings, conferences, convenings including travel and itinerary development, and meeting follow-ups
  • Support the Executive Director in stakeholder tracking and communication (current, new, and prospective members and partners)

Network Contacts and Databases Management (35%)

  • Maintain our CRM database (Zoho), including contact information, membership status, grant records, and organizational activities
  • Generate contact lists as needed, perform data cleanup for batch imports into our CRM and conduct regular data cleanup, troubleshooting, and categorization to maintain database integrity
  • Manage uploads and updates in the Members’ Hub on Howspace
  • Maintain Google Drive files and folders, including labels and tagging for easy access
  • Maintain a thorough understanding of GDPR requirements and best practices, and monitor the Client’s GDPR compliance
  • Onboarding/offboarding support for members

Team-wide Process Operations (40%)

  • Support collaborative planning, coherent workflow, and timeline coordination across the Secretariat Team and member working groups
  • Track and coordinate project deliverables and milestones including proposal requirements, submission and reporting deadlines
  • Facilitate open communication and collaborative tools, such as updates and shared project dashboards/platforms, to ensure transparency and accountability across teams
  • Maintain an organized and up-to-date calendar and Google contact lists for the team
  • Provide general support to the Secretariat Team, Steering Committee and Working Groups including note-taking, Zoom links, recordings, breakout rooms, and agenda preparation

What You’ll Bring

  • At least 1–2 years of professional experience in a food systems or global movements, nonprofit, or philanthropic setting
  • Excellent project coordination and organizational skills
  • At least 1 year of experience managing databases and CRM systems (ex. Zoho), as well as proficiency in Google Workspace, Zoom, and Slack
  • Comfort working in a rapid, complex environment and ability to take initiative in solving problems proactively
  • A keen eye for detail and accuracy, especially in data management, document preparation, and calendar management
  • Alignment with Global Alliance’s principles of renewability, resilience, equity, diversity, healthfulness, inclusion, and interconnectedness
  • Practice of, and commitment to, advancing equity, diversity, inclusion, and justice
  • Strong communications skills; fluent (written and spoken) English is required; second language an asset
  • Periodically conduct international travel (at least 2 organizational meetings and gatherings a year)

The Global Alliance for the Future of Food is a project of Panorama Global. We are committed to the principles of equity and diversity in employment. Our membership and Secretariat team are located in different geographic regions. We encourage applications from all qualified individuals.

To apply, please submit a resume or CV, and answer a few brief Application questions. We encourage you to apply right away and before our application deadline of July 17. Applications will be reviewed on a rolling basis.

AI Policy

The rapid and widespread adoption of generative AI has raised serious questions about the ethics and principles of its use and the social, economic, and environmental impacts of these tools, developed and largely owned and controlled by a few powerful corporations and billionaires.

We do not use AI software to screen applications or to conduct interviews. We recognize the effort, time, and intent that each individual takes to make an application and honor that by reciprocating with our own time, effort, and resources. We will not consider resumes/CVs and applications that we can detect have been written using AI tools.

About Panorama Global
