Executive Assistant & Board Liaison

Organization: National Peace Corps Association (NPCA)

Reports to: CEO

Dotted-line to: Associate Director of Operations (for all responsibilities outside of direct CEO support) 

Location: Washington, D.C. – Hybrid – 2-3 days in office  

Employment Type: Full-time, Exempt

Travel: Approximately 10% travel, primarily to support conferences and organizational events.

Salary: $50,000 per year

About NPCA

The National Peace Corps Association (NPCA) is a global alumni network representing nearly 250,000 Americans who have served in the Peace Corps across 144 countries since 1961. NPCA has advocated at the national and state levels for a stronger, more effective Peace Corps since 1983. Through advocacy, networking and skills-building, publications, and a shared commitment to service, NPCA promotes peace, friendship, and volunteerism in partnership with the global Peace Corps community.

NPCA amplifies the voices and impact of Returned Peace Corps Volunteers (RPCVs) nationwide and supports a growing network of more than 70,000 members and 150 affiliate groups with resources, an online alumni platform, and hands-on guidance. NPCA’s mission is to raise the visibility of Peace Corps service and demonstrate the lasting domestic and international impact of RPCVs.

Position Summary

The Executive Assistant & Board Liaison is a key member of NPCA’s team, providing high-level administrative support to the CEO, serving as the primary liaison to a 21-person Board of Directors, and supporting core operational functions across the organization. This role reports to the CEO for executive support and works closely, in a dotted-line capacity, with the Associate Director of Operations on board liaison, operations, and all other responsibilities outside of direct CEO support. This is an entry-level role well suited to someone who is highly organized, discreet, proactive, and eager to gain broad exposure to nonprofit leadership, governance, and operations.

Key Responsibilities

Executive Support to the CEO – 30% of time

  • Manage the CEO’s calendar, including scheduling appointments and coordinating travel arrangements
  • Manage the CEO’s email, responding to routine correspondence and escalating items that require their attention
  • In coordination with the communications team, manage the CEO’s social media presence, including drafting posts, monitoring engagement, and helping maintain a consistent public voice
  • In coordination with the communications team, prepare briefing materials and talking points ahead of external meetings

Board of Directors & Governance – 15% of time 

  • Serve as primary administrative liaison between NPCA and its 21-member Board of Directors 
  • Assist with the onboarding and offboarding process of board members
  • Manage the board meeting calendar and ensure timely distribution of pre-meeting materials
  • Attend quarterly board meetings and monthly board briefings, assisting with opening and co-hosting the meeting as well as troubleshooting technical issues.
  • Organize and maintain the board’s shared drive files in coordination with key board members, creating systems that ensure long-term organization and consistent access for all members
  • Support board committees (e.g., Finance, Governance, Development, DEIA, Affiliate Groups, and tasks forces) with scheduling and materials as needed
  • Advertise quarterly board meetings on Connect+, website and in monthly newsletters so that members can attend
  • Ensure that board minutes and other governance documents are up to date and  publicly available on NPCA’s website 
  • Ensure that meeting recording and necessary documents are distributed following meetings

Event Support – 25% of time 

  • Support the Membership and Engagement Manager and the Associate Director of Operations with planning and logistics for NPCA’s Annual Conference, including scheduling, materials preparation, and vendor coordination
  • Support the Advocacy Manager with Hill Day event (annual advocacy day) logistics, including participant coordination and materials preparation
  • Assist with donor events such as Shriver Summit and the Gala, helping ensure a professional and welcoming experience for guests that increases their connection to NPCA and support of our programs and services
  • Coordinate with relevant staff and committees on event timelines and follow-up
  • Assist with all other NPCA events as needed

Operations & Administration – 30% of time 

  • Centralize the administrative coordination of the internship program, carrying out tasks such as: making sure internship postings are accurate and up to date, assigning and closing email accounts, centralizing onboarding documents, ensuring paperwork is completed, and other internship support as needed
  • Lead development and maintenance of electronic file management and document retention systems on Google Drive
  • Manage organizational Google and Microsoft accounts, including staff and board email address provisioning
  • Support onboarding logistics for new staff, including account setup and welcome materials
  • Utilize Raiser’s Edge to support board fundraising and stewardship recordkeeping and event-related data entry

  • Other duties as assigned
  • Recruit and supervise interns if assigned to this role
  • To accommodate the schedules of our stakeholders, regular evening meetings and occasional weekend activities should be expected

Qualifications

  • 1-2 years of relevant administrative, operations, or nonprofit experience, including relevant internships
  • Bachelor’s degree or equivalent combination of education and experience
  • Exceptional organizational skills and strong attention to detail
  • Comfortable managing multiple priorities and shifting deadlines
  • Strong written and verbal communication skills
  • Discretion and sound judgment when handling confidential or sensitive information
  • Proficiency in Google Workspace
  • A collaborative, service-oriented approach and genuine interest in nonprofit governance and operations
  • Demonstrated commitment to the organization’s mission
  • Highly motivated, resourceful and creative, thriving on the opportunity to contribute to the Peace Corps community
  • Familiarity with Raiser’s Edge or similar CRM/database platforms a plus, but not required
  • Returned Peace Corps Volunteer preferred
