Position description
The Center for European Policy Analysis (CEPA) seeks a highly motivated, energetic, and organized Program Assistant to join our dynamic External Affairs team. This role offers the opportunity to contribute to CEPA’s strategic engagement efforts and support the execution of high-profile public and private events. Reporting to the Program Manager for External Affairs, the Program Assistant will play an integral role in coordinating logistics, engaging with key stakeholders, and enhancing CEPA’s external visibility by powering our convenings. The ideal candidate will bring strong communications skills, experience in event production or hospitality, and the ability to thrive in a fast-paced environment. Key Responsibilities • Work alongside programs to support the planning, organizing, and execution of CEPA’s public and private events. • Coordinate with various partners, develop marketing materials, and run the day-of logistics of CEPA events, ensuring smooth execution of our events; • Liaise with vendors, venues, and partners (e.g., caterers, audiovisual teams, event spaces) including contracts, delivery, and on-site coordination; • Coordinate with the Communications team to promote events through various channels, including social media, email campaigns, and website; • Assist with administrative tasks and institutional initiatives that support CEPA’s operations. • Communicate clearly and positively with all stakeholders. This is an externally facing role and a positive and professional outlook is a must.
Qualifications
• Bachelor’s degree required. • 1–2 years of experience in a relevant role, hospitality experience welcome. • Familiarity with Washington, DC’s events and catering communities is a plus. • Experience with event management platforms, video conferencing tools, livestreaming systems, and CRM software such as Salesforce or Pardot. • Knowledge of WordPress or website content management is preferred. • Excellent verbal and written communication skills. • Strong attention to detail and ability to multitask in a deadline-driven environment. • Discretion, adaptability, and professionalism in handling sensitive information.
