Administrative Assistant (6 positions)

Position description

The S&D Group in the European Parliament is recruiting six administrative assistants, AST 2, Temporary Agents 2 c) of the CEOs

The nature and the level of the duties to be carried out may include:

• Assisting the administrator(s) responsible in their respective managerial and non-managerial functions
• Cooperation and collaboration, under the supervision of the administrator(s), with the colleagues responsible for the Intranet and Internet sites, regularly providing material for publication on the Website; News monitoring in relations with EU affairs in the following member states: Cyprus, Malta, Latvia, Lithuania, Luxemburg or Denmark
• Assisting the administrator(s) responsible for the parliamentary committee concerned, particularly as regards following-up the work in committee and in Plenary, drawing up minutes and voting lists, preparing working groups’ meetings, being in regular contact with other political groups and the Administration of the European Parliament; liaising with the Members of the S&D Group and their office notably, the following delegations: Cyprus, Malta, Latvia, Lithuania, Luxemburg or Denmark in their respective languages
• Preparing online/hybrid meetings, seminars and conferences, from a technical and documentary point of view, in particular by preparing files, carrying out documentary research and archiving
• Organizing events and conferences, welcoming guests, and ensuring budgetary and logistical assistance in connection with meetings with external guests, notably from the following member states, Cyprus, Malta, Latvia, Lithuania, Luxemburg or Denmark; liaising with external guests in their respective languages, for invitations, travel arrangements and protocol matters
• Set up and maintain databases, contact lists, archiving systems and management of functional mailboxes
• Processing documents and notes, including minutes, Members’ briefs, draft agendas, amendments, voting lists, etc.
• Excellent knowledge of standard computer applications (Microsoft Word, Excel, Outlook, platforms such as Microsoft Teams, Zoom, Webex)

Candidates must fulfil the following conditions:

• Enjoy full rights as a citizen of a Member State of the European Union
• Meet any obligations under national laws on military service
• Meet the character requirements for the duties concerned

Qualifications and professional experience required

• a level of education which corresponds to a completed post-secondary education attested by a diploma and following this diploma at least three years relevant professional experience described under point I or
• a level of secondary education attested by a diploma giving access to post-secondary education, and following this diploma, at least five years’ relevant professional experience in the field described under point I

Specific conditions – languages

For the requirements of the post (Article 12(2) CEOs), candidates must have a thorough knowledge of one of the following languages at minimum C1 level:Greek, Maltese, Latvian, Lithuanian, French, or Danish (language 1).

The work requires frequent travel outside Brussels, in particular to Strasbourg.
