As a Workplace Management Analyst you will, in compliance with internal controls and guidelines, coordinate activities for the safe, efficient and economic operation and maintenance of the ADB’s engineering services, and activities associated with the Digital Technologies deployed, including Audio-Visual (AV) activities, Digital Media/Signage and Building Management Systems (BMS). You will provide strategic and sound recommendations and operational decisions resulting in a more helpful way of managing digital technologies and solutions, including the implementation of assigned technical upgrades projects.
- Ensure efficient operation and maintenance of Building Engineering Services including the Operations Centre. Verify data and analyze trends to improve operational energy efficiency and user comfort.
- Support AV services, lighting, stage and seating technologies, and related workforce allocation for the setup and pre-testing of events and Boardroom operations at ADB headquarters. Deploy and test suitable equipment for each event, monitor proper storage with asset identification for easy retrieval and prevent damage.
- Support the planning, execution, and reporting of the programs related to the upgrade, improvement and renovation of AV systems, digital media/signage, Building Management Systems, and other digital solutions in compliance with all required regulations and standards.
- Support the quality assurance and quality control (QAQC) process including regular inspections of the building, engineering systems, and related operational activities, building appearance and quality of workspace to assure business continuity, standards and quality are implemented and maintained following ADB guidelines and procedures, and the local code followed by staff and users.
- Monitor and report breakdown of equipment and coordinate the required repair/replacement, upgrade with service providers/suppliers.
- Provide technical inputs in the investigation and root-cause analysis of equipment and system outages and failures, implement and monitor measures to avoid recurrences.
- Manage client relationships, with clear responsibilities, and coordinate prompt responses to queries/complaints for service requests through ADB’s electronic service request platform and directing them to relevant service owners for follow up and action.
- Help in monitoring vendor performance, reviewing service contracts, adherence to standard operating procedures, and preparing Work Performance Statements and Service Level Agreements.
- Conduct training for contractor staff on best practices including providing service, high-quality delivery and service, professional presentation and striving for customer satisfaction.
- Coordinate contractor work scope, delivery, and schedule. Maintain and evaluate records of systems and equipment maintenance services.
- Ensure all conducted works follow ADB’s energy, environment, health, and safety management systems (E2HSMS) requirements following ISO standards, including leadership in energy and environmental design (LEED) guidelines.
- Help in procuring goods and services, conducting inventory and inspection of equipment and engineering supplies, and giving feedback on budgets and reports for administrative and capital expenditures.
- Perform other duties that may be assigned and related to your work plan.
Qualifications:
You will need:
- Bachelor’s degree in engineering, audiovisual systems or related field, with relevant license (registered or professional).
- Experience in operation and maintenance of Building Engineering Services/Systems.
- At least 5 years’ experience handling digital technologies and solution including AV systems, IT hardware, software and integration and Building Maintenance Services (BMS), within a large organization.
- Sound knowledge and practical experience in digital technologies and solutions, including AV and IT equipment integration and operation and maintenance and installation requirements.
- Trained in Audio Visual system.
- Ability to proficiently able to analyze procedural, operations and strategic issues and provide recommendations to improve the effectiveness in unit operations and services.
- Knowledge in national and industry workplace safety rules and regulations and the application of Energy, Environment Health and Safety Management System.
- Ability to liaise and work with teams within own work location and throughout ADB and able to work with teams as a constructive team member.
- Demonstrate ability to work with individuals from different cultural/national backgrounds.
- Excellent command of written and verbal communication skills in English.
