WRI India is seeking a Junior Program Associate to support event coordination and program operations for the Food, Land, and Water Program. The role involves planning and executing in-person, virtual, and hybrid events, coordinating internal teams and external vendors, and managing event logistics. Additional responsibilities include maintaining trackers, vendor contracts, managing stakeholder communication, supporting documentation, database management, and partner coordination. Good communication, interpersonal, and multitasking skills, and proficiency in MS Office and virtual platforms such as Zoom and Teams. Familiarity with tools like Asana and Salesforce is a plus.
Responsibilities
- Plan, organize, and execute in-person, virtual, and hybrid events, including workshops, conferences, roundtables, and meetings.
- Maintain and regularly update the event tracker, calendar, and checklists.
- Coordinate with internal teams and external vendors (e.g., venues, caterers, logistics providers) to ensure seamless event execution.
- Oversee event logistics such as venue booking, contract negotiations, travel arrangements, and participant accommodations.
- Manage event registrations and maintain timely communication with participants.
- Prepare and monitor event timelines, checklists, and budgets.
- Oversee onsite event logistics including setup, registration, AV arrangements, and overall event flow.
- Coordinate with internal teams such as communication, budget and finance
- Follow up with vendors for timely delivery of event collaterals and kits.
- Identify, Maintain and update the program’s vendor database, fostering strong relationships with current and potential vendors.
- Assist in the planning and coordination of activities under the Food, Land, and Water Program.
- Maintain and update program contact databases.
- Coordinate with the accounts and audit teams for event-related payments and deliverables.
- Liaise with partners, consultants, and other stakeholders as needed.
- Support in notetaking, and action item tracking.
- Draft and manage event communications including invites, follow-ups, and confirmations.
- Assist in the preparation of post-event reports, feedback forms, and documentation.
- Maintain organized digital records of event materials, photos, and contact information.
- Ensure timely reporting and documentation submissions to accounts and finance teams.
- Keep all event and program support trackers up to date.
- Maintain clear and consistent communication with internal and external stakeholders.
Requirements:
- Bachelor’s degree with 0 – 2 years with prior experience in event coordination and/or program support.
- Proficient in Microsoft Office; familiar with Zoom, MS Teams, and other virtual event platforms.
- Strong organizational, multitasking, and time management skills.
- Excellent written and verbal communication abilities.
- Creative thinker with attention to detail and a proactive approach to problem-solving.
- Ability to manage multiple tasks under tight deadlines while maintaining quality and accuracy.
- Experience on tools like Asana and Salesforce is preferred.
